Creating a Pack - Shift Details

Setting up accurate shift details is a crucial part of creating effective Safe Work Packs (SWPs) in Accurail.

It's important to understand that in Accurail, shifts are treated as distinct entities, almost like individual SWPs within the larger pack structure.

  • The interface allows you to easily input start and end dates and times.
  • Use the calendar picker for dates and the time selector for precise timing.

Flexible Shift Duration

  • Accurail doesn't impose limits on the length or duration of shifts.
  • This flexibility allows you to create shifts that precisely match your work requirements, whether they're short tasks or extended operations.

Extended Validity Periods

  • You have the option to create SWPs valid for extended periods, such as a full month or even longer.
  • Example: Set the start date as 1st August and the end date as 31st August to create a month-long valid SWP.
  • If only one shift was added to the above example, this would mean staff would be able to use one shift within the defined period at their defined date.

Considerations for Extended Shifts

While extended shifts offer flexibility, it's important to align them with your organisation's safety policies and work regulations.

  • Consider breaking very long periods into shorter, more manageable shifts if detailed daily planning is required.
  • Always ensure that extended shifts comply with working time directives and fatigue management policies.

Multiple Shifts Within an SWP

Accurail's multi-shift functionality uses a "copy shift" system that saves time when creating similar shifts for your Safe Work Pack.

How Copy Shift Works

When you create a new shift, you can copy from any existing shift in your SWP. Accurail copies all the information from your chosen shift to the new one, including:

  • All uploaded Custom Documents / Permits
  • Task Risks and Nature of Work
  • Staff details
  • RT9909 & NR3180 data
  • Possession Info

You can then modify specific details for the new shift, such as dates, times, and staff assignments, while keeping all the core safety information consistent.

For Cyclic and Repeated SWPs

  • You can add multiple shifts either during initial creation or after the first shift is verified
  • Choose which existing shift to copy from - this could be shift 1, shift 2, or any other shift that has the setup closest to what you need
  • After creation, you can copy from any existing shift when adding new ones

For Non-Cyclic SWPs

  • Use the 'Add Shift' button to create additional shifts
  • Choose which existing shift to copy from - this could be shift 1, shift 2, or any other shift that has the setup closest to what you need
  • Adjust dates, times, and other variable details as needed

Complete the source shift first - An incomplete shift will create incomplete copies.
